Terms and conditions of Business
The following Terms & Conditions apply immediately upon meeting an Au Pair through this Agency, or on reading the details of an Au Pair whose application has been sent by e-mail by COOLAGENT. The Agency reserves the right to refuse a family or to remove the Au Pair when the following Terms & Conditions have not been adhered to.
The Family must send a Family Application Form, signed Terms & Conditions and Letter of Invitation for the chosen Au Pair to the Agency. The Application and the Letter must describe the household circumstances, family members, Au Pair’s duties, room, pocket money, working hours and other important details. The Client accepts full responsibility for giving untrue or incomplete information in the Application and/or in the letter or any other document sent to the Agency or the Au Pair.
The agency is obligated to check 2 references provided by Au Pair and send it to the family together with Medical report and Criminal Background check. The agency is obligated to inform the Family immediately if a situation arises that the Au Pair should not seem to be suitable candidate to children.
The Agency will also arrange all needed paperwork and travel details and can help the Family to buy suitable medical insurance for the Au Pair.
Terms of payment
After successful acceptance of the Au Pair, the Family is obligated to send a Letter of Invitation and to pay a program fee. Programme fees become payable in 7 days after acceptance of one of the Au Pair from our list.
If the Au Pair wishes to extend her stay, the Agency must be informed immediately.

The fee includes taxes.
Payment to the Au Pair

Any additional hours over 25, 35, 40 should be agreed between the family and Au Pair at a rate of £ 4 per hour.
This must be paid weekly and in full directly to the Au Pair.
The Family is obligated to provide for Au Pair:
1. Full board and accommodation (own room)
2. Pocket money regarding working hours
4. At least 1 day off per week
5. 1-week paid holiday shall be offered to the Au Pair after completion of each six months period with the family.
Holiday & Travel
If a family goes on holiday without the Au Pair, then the family is responsible for providing accommodation and food for the Au Pair, and the Au Pair is still entitled to their pocket money. Au Pairs are responsible for their own fares however, the family must either meet their Au Pair at the airport or any other arrival point or make other arrangements for the Au Pair to be collected.
The Client takes full responsibility for any decision to employ the Au Pair. The Agency does not and shall not offer any warranty as to the suitability, honesty, character, medical fitness, or capability of any Au Pair. Nor shall be held liable for any loss, damage, cost, injury, or inconvenience caused by any Au Pair or arising from the introduction of any Au Pair by the Agency or any of its employees. Although the Agency takes care to check the Au Pairs’ details, the Client is strongly advised to satisfy himself/herself as to the suitability of the applicant. Au Pair agency provides criminal background check, the copy will be sent to the family by email.
Two-week notice must be given to the Au Pair should The Client wish to terminate the agreement between themselves and the Au Pair. The Family is responsible for all costs that might occur to the Au Pair if The Family terminates the placement early without giving the Au Pair a notice period of 2 weeks.
Replacement Guarantee and Cancelation
The agency offers the Family a free replacement if:
the Au Pair leaves the Family within 28 days after arrival (after this period, the Agency does not arrange free replacement and further fees will apply for further placements).
A refund of 70% fee will be returned to the Family if the Au Pair leaves within 28 days unless an alternative replacement candidate is accepted by the family. In case of Summer Au Pair, then 14 days after arrival apply.
The agency offers a free replacement or refund of 100% fee:
if the Au Pair cancels the confirmed arrival after the fee has been paid
If the Family cancelled for any reason the invitation of an Au Pair once it has been agreed that the Family will not be returned a fee but the Family will get a CREDIT for 50% of the fee valid for 1 year from exposure.
All refunds are subject to an administration fee of 100 GBP.
All requests for Refund must be made in writing within 7 days of the Candidate leaving.
These Terms and Conditions supersede any previous agreements, arrangements, documents, or other undertakings either written or oral.
These Terms and Conditions are valid from May 15th, 2020.
